Privacy Policy

1. Introduction

The Inflection Summit (“we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, store, and protect your personal information when you visit www.inflectionsummit.ca (the “Site”), register for the Inflection Summit event (the “Event”), or interact with our AI-powered voice registration assistant (the “AI Assistant”).

By using the Site or registering for the Event, you consent to the practices described in this Privacy Policy. If you do not agree with this Policy, please do not use our Site or register for our Event.

2. Information We Collect

We collect the following categories of personal information:

2.1 Registration Data. When you register for the Event, we collect information such as your name, email address, phone number, job title, organization, and professional background.

2.2 AI Assistant Data (Voice and Transcription). When you voluntarily engage with the AI Assistant during the registration process, we collect:

  • Voice recordings of your responses;
  • Transcriptions of those voice recordings generated automatically;
  • Semantic analysis outputs derived from your spoken responses, including themes, intent signals, professional challenges, and strategic priorities you disclose;
  • Any other information you voluntarily provide during the AI conversation session.

This data is processed exclusively within the Dillon platform, a licensed, closed-environment AI system. Your voice data and AI-generated insights do not leave the Dillon environment and are not used to train, calibrate, or improve any general-purpose AI models. All inputs are retained solely within this walled-garden environment under Dillon’s data handling terms.

2.3 Usage Data. We automatically collect certain technical information when you visit the Site, including your IP address, browser type, operating system, referring URLs, pages visited, and time spent on pages.

2.4 Communications Data. If you contact us or respond to our follow-up messages, we may retain records of those communications.

3. How We Use Your Information

We use the information collected for the following purposes:

  • Event administration: To process your registration, communicate logistical details, and manage attendance;
  • AI insight capture: To aggregate and analyze voice and transcription data from AI Assistant sessions to identify industry trends, strategic pain points, and participant priorities, which inform event programming and research outputs;
  • Follow-up outreach: To contact registered Participants who have not completed the AI Assistant session, encouraging their participation;
  • Event improvement: To evaluate and improve the quality and relevance of Event content;
  • Marketing and communications: To send you information about future events, partnerships, or initiatives (with your consent, and subject to opt-out rights);
  • Legal compliance: To comply with applicable laws and enforce our Terms and Conditions.

4. AI Voice Data – Special Provisions

Given the sensitive nature of AI-processed voice data, we apply the following additional safeguards and disclosures:

4.1 Voluntary Participation. Engagement with the AI Assistant is voluntary. You may complete Event registration without participating in the AI session, though we strongly encourage participation as it directly shapes the Event agenda.

4.2 Walled-Garden Processing. All AI voice and transcription data is processed exclusively within the Dillon platform. This is a licensed environment, meaning your data is handled under contractual terms between the Inflection Summit and Dillon. Your data does not enter any open, public, or third-party AI training pipeline.

4.3 No Model Training. Your voice recordings and transcriptions will not be used to train, fine-tune, calibrate, or improve any artificial intelligence or machine learning model — whether operated by Dillon, the Inflection Summit, or any third party.

4.4 Data Aggregation. Insights derived from AI Assistant sessions may be aggregated and anonymized for research, reporting, and event programming purposes. No individually identifiable information will be disclosed in such aggregated outputs.

4.5 Consent to Recording. By engaging with the AI Assistant, you provide explicit, informed consent to the recording, transcription, and AI analysis of your voice as described in this Policy.

5. Disclosure of Your Information

We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following limited circumstances:

  • Service providers: With trusted third-party vendors (including the Dillon platform) who assist in operating the Site, processing registrations, and delivering Event services, under strict confidentiality agreements;
  • Event partners: With co-organizers, sponsors, or partners of the Event, to the extent necessary for Event operations, subject to your consent where required;
  • Legal requirements: When required by law, regulation, court order, or governmental authority;
  • Protection of rights: When necessary to protect the rights, property, or safety of the Inflection Summit, its participants, or the public.

6. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes described in this Policy or as required by law. Voice recordings and raw transcription data from AI Assistant sessions will be retained for a period not exceeding 24 months from the date of the Event, after which they will be permanently deleted or anonymized. Aggregated, de-identified insights derived from AI sessions may be retained indefinitely.

7. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • Access: The right to request a copy of the personal information we hold about you;
  • Correction: The right to request correction of inaccurate or incomplete information;
  • Deletion: The right to request deletion of your personal information, subject to legal and contractual obligations;
  • Withdrawal of consent: The right to withdraw your consent to AI voice data processing at any time (prior to your session). Withdrawal of consent after your AI session has been completed may not be technically feasible as transcription and analysis will have already occurred;
  • Opt-out of marketing: The right to opt out of marketing communications at any time by following the unsubscribe instructions in any email we send, or by contacting us directly.

To exercise any of these rights, please contact us at the details provided in Section 12.

8. Security

We implement commercially reasonable technical, administrative, and physical safeguards to protect your personal information from unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

9. Cookies and Tracking Technologies

The Site may use cookies, web beacons, and similar tracking technologies to enhance your experience, analyze Site usage, and support Site functionality. You may configure your browser to refuse cookies; however, doing so may limit certain features of the Site.

10. Children’s Privacy

The Site and Event are not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have collected information from a person under 18 without verifiable parental consent, we will take steps to delete such information promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted on the Site with a revised “Last Updated” date. Your continued use of the Site or participation in any future event constitutes your acceptance of the updated Policy. We encourage you to review this Policy periodically.
